Privacy Statement

We, the International Committee of Sports for the Deaf (“ICSD”), take pride on our commitment to protecting your privacy. This Privacy Statement describes in greater detail the privacy practices of ICSD’s ("us," "we," "our") responsibility in the collection and maintenance of your records and related information.

1. WHEN THIS PRIVACY STATEMENT APPLIES
If a Service you are using links to this Privacy Statement, this Statement applies to you for the service you are using. Likewise, this Privacy Statement (“Statement”) also applies to any of our sites, products, and services (collectively, "Services") usage that links you to the Statement. ICSD is the controller of all Personal Information subject to this Statement for our Services available to global users.

2. WHAT WE DO WITH YOUR INFORMATION
We emphasize that the kinds of information we collect from you are for the purpose for rendering Services efficiently to you. The collected information is to provide reliability of our Services to you that are useful, intelligent, and beneficial. We do not sell or share your Personal Information with third parties for commercial uses without your prior consent.

2.1. Types of Information We Collect
In connection with accessing our Services, the information we collect from you includes your identification ("Personal Information"), such as your name, mailing and email addresses, phone numbers, usernames and passwords.

We ask for such information when you register or open an account, sign-in, using a Service, calling us for support, or giving us feedback. We may also get information from third parties, such as when you sync a third party account or service with your Service, or when we use service providers to supplement the Personal Information you give us (e.g., validating your mailing address) to help us maintain the accuracy of your data and providing you with better service. Finally, we also collect content or other information that you may provide or create when you interact with our Services.

We may also automatically collect certain usage information when you access our Services ("Usage Data"), such as Internet Protocol ("IP") addresses, log files, unique device identifiers, pages viewed, browser type, any links you click on to leave or interact with our Services, and other usage information collected from cookies and other tracking technologies. For example, we collect IP addresses to track and aggregate non-personal information, such as using IP addresses to monitor the regions from which users navigate to our Services. We also collect IP addresses from users when they log into the Services as part of our log-in and security features. We may also, when you enable location-based Services, collect Global Positioning System (GPS) location data and/or motion data.

Our Services may change over time. We may introduce new features to collect new or different types of information.

2.2. How We Use Your Information
We may use your information, including your Personal Information, for the following purposes below.

2.2.1. ICSD Account
We may use your name, address/email address, and phone numbers to complete your account registration for certain Services we provide and to communicate important information to you. We may obtain additional Personal Information about you, such as address changes from commercially available sources to keep our records current.

2.2.2. To Provide Our Services
We may use your information to assist with the operation of our Services as well as providing the Services you requested including giving related support. Your information may also help us protect our Services, including combating frauds and keeping your information secure.

2.2.3. Technical Support
We may use your name, address, email address and phone numbers, user data on how you interact with our Services. The information from your computer configuration information may also be used to resolve questions you may have about our Services. We may follow up with you about your experience in using the Services. We also offer third-party Internet video chat services that can be used, for example, to speak with an ICSD support representative. Although the Internet Video Chat transmissions will be encrypted, you should not supply your Personal Information more than what is required to address your specific issue. Transcripts of the sessions will be retained to review/resolve questions or issues related to our Services.

2.2.4. To Improve Services and Develop New Services
To improve the overall quality of ICSD's Services, we will use your information to personalize or customize your experience with the Service to develop new features and/or additional services.

2.2.5. Communication with You
We may use your information to communicate with you about our Services and to give you announcements and updates related to our organization.

2.2.6. Feedback
We may use any information you volunteer to give through optional surveys. The answers you provide may be sorted with the answers from other users in order to better understand the usage of our Services, and what improvements we may need to make. The optional surveys will be developed in a way that would not allow you and other users’ to be identified. The data from the surveys may be shared with third parties for research, academic, marketing and/or promotional purposes. For example, we may share demographic data that describes the percentage of our users who use mobile services or who use a particular operating system. We or our third party partners may publicly report the aggregated findings of the research or analysis, but only in a way that would not allow you or any other person to be identified.

2.3. How We Share Your Personal Information
From time to time, we may need to share your Personal Information with others as detailed below. Most importantly, under no circumstances do we sell your personal information to third parties.

2.3.1. Third Party Service Providers
We may share your information, including Personal Information and Usage Data, with third party service providers who perform various functions to enable us to provide our Services and help us operate our Services, such as website design, sending email communications, fraud detection and prevention, or performing analytics. Our contracts with these third parties require them to maintain the confidentiality of the Personal Information we provide to them, only act on our behalf and under our instructions, and not use Personal Information for purposes other than the product or service they are providing to us or on our behalf.

2.3.2. Response to Subpoenas and Other Legal Requests
We may have to share your information with courts, law enforcement agencies, or other government bodies if required by law and/or for national security measurements in order to protect our organization. The sharing of your information may be in response to court orders, subpoenas, search warrants and other fiats by law.

2.3.3. Protection of the ICSD and Others
We may share user account information, Personal Information and Usage Data when we believe it is appropriate to enforce or apply our ICSD’s Terms of Service and other agreements including protecting the rights, the property, and/or the safety of the ICSD, our Services, our users, and such. This includes exchanging information with other organizations for fraud protection and credit risk reduction. This does not include selling, renting, sharing, or otherwise disclosing Personal Information of our customers for commercial purposes in violation of the commitments set forth in this Privacy Statement.

2.3.4. Information Sharing Between ICSD Entities
We share your information, including your Personal Information, with and among our affiliates and subsidiaries, except where prohibited by law. Affiliates and subsidiaries mean related organizations by common ownership or control. The reasons why we share your information include for our everyday service purposes such as to process your registration or accreditation to attend Deaflympics or ICSD-organized events. We will also share your information in order for us to be able to offer our services to you. We may also share information about your experience so that we can operate our service effectively, to detect and prevent fraud, and to improve our Services.

2.3.5. Events-related services
For events such as Deaflympics and other ICSD-sanctioned events, necessary basics from your Personal Information will be shared for the purpose of creating accreditation badges, rosters, program books and such.

2.3.6. With your Consent
Other than as set out above, we will provide you with notice and the opportunity to choose when your Personal Information may be shared with other third parties.

2.4. ICSD Account
ICSD Account is a Service that allows you to sign-in to our intranet Services. We will collect certain information for security purposes in order to verify your authorized access to an account or to reset your password if you cannot access your ICSD account. Some Services may require added security and may be asked to provide additional information. The email address and password that you use to sign up for an ICSD account are your "credentials" that you will use to authenticate with our network. We assign a unique ID number to your credentials to track you and your associated information. ICSD Services do not allow sharing of accounts between users or individuals.

3. WHAT YOU CAN DO TO MANAGE YOUR PRIVACY
You can view and edit information that identifies you online through the ICSD Services. How you can access and control information that identifies you will depend on which of the Services you use. You have a choice about the use of information that identifies you, marketing communications you receive from us, and our use of cookies and other tracking technologies.

3.1. Updating Your Personal Information
In connection with your right to manage your Personal Information you provide us, you may access, update, change, correct or request deletion of your information through the Services.

3.2. Cookies and Other Tracking Technologies
The following is a high-level summary of our practices and your controls for cookies and other tracking technologies.
In accordance with applicable laws, ICSD and our service providers may use commonly-used tools to recognize your visits and track your interactions with our Services such as cookies, web beacons, pixels, local shared objects, and similar technologies (collectively, "Cookies"). Sometimes the tracking is necessary in order for us to provide you a Service you requested. Other times, we combine Usage Data collected from Cookies with that of other users to improve your and other users' experience. You have control over some of the Usage Data we collect from Cookies and how we use it. Information on changing your browser settings to opt out of Cookies can be found in your browser settings.

3.3. Social Media Features
Our Services may use social media features, such as Facebook and Twitter sharing ("Social Media Features"). These features may collect your IP address and which page you are visiting within our Service and may set a cookie to enable the feature to function properly. Social Media Features are either hosted by a third party or hosted directly on our Services. Your interactions with these features are governed by the privacy statement of the company providing the relevant Social Media Features.

4. DATA RETENTION AND YOUR ACCESS RIGHTS

4.1. Data Retention
In accordance with and as permitted by applicable law and regulations, we will retain your information as long as necessary to serve you, to maintain your account for as long as your account is active, or as otherwise needed to operate our service. When you are no longer with us, we may also continue to use some of your information for service purposes and to improve our offerings or in some cases to develop new ones. We will retain and use your information as required by applicable regulations and ICSD's records and information management policies to comply with our legal and reporting obligations, resolve disputes, enforce our agreements, complete any outstanding transactions and for the detection and prevention of fraud.

4.2. Your Access Rights
As required by applicable law, you may contact us to confirm whether we may maintain, or process on behalf of a third party, any of your Personal Information and to review it in order to verify its accuracy and the lawfulness of our processing of such Personal Information. If you have determined that the Personal Information we collected about you is inaccurate or processed in violation of applicable law, you may request that your Personal Information be corrected, amended, or deleted. Requests for access to your Personal Information and to have it corrected, amended, or deleted should be sent to office@ciss.org

4.2.1. Retention of Athletic Records
The Access Rights as detailed in 4.2 is not applicable to any requests to delete athletic records. Athletic records created by competitors participating legitimately in ICSD-sanctioned events are an integrated part of ICSD history. In addition to maintaining the integrity of the records of all athletes, ICSD also values at having each legitimate athlete be permanently recognized for his/her participation in any of the ICSD-sanctioned events.

5. SECURITY OF YOUR INFORMATION
Keeping your Information safe is important to us.

5.1. We provide reasonable and appropriate security measures in connection with securing Personal Information we collect. For example, we:

5.1.1. Constantly work to update our security practices to implement accepted best methods to protect your Personal Information, and review our security procedures carefully.

5.1.2. Comply with applicable laws and security standards.

5.1.3. Securely transmit your sensitive Personal Information.

5.1.4. Train our staff and require them to safeguard your data.

6. INTERNATIONAL DATA TRANSFERS
In accordance with and as permitted by applicable law and regulations, we reserve the right to transfer your information, process and store it outside your country of residence to wherever we or our third party service providers operate.

8. CHANGES TO OUR PRIVACY STATEMENTS
From time to time, we may change or update our Privacy Statements. We reserve the right to make changes or updates at any time. Whenever we make material changes to the way we process your Personal Information, we will post notices here. Please review any changes carefully. Please note that all changes are effective immediately upon posting, so if you continue to use our Service after notices were posted, it shall constitute your consent to all changes. If you have objections to any of the changes and want to stop using our Services, you may choose to close your account.

9. COLLECTION AND USE OF CHILDREN’S PERSONAL INFORMATION
We do not knowingly collect information from minors. ICSD Services are intended for and directed to adults. Our Services are not directed to minors and we do not knowingly collect Personal Information from minors.
